Hello – not sure if this is the right group for this but though I’d give it a try! I need to draft a Terms of Reference for a new senior level meeting I am setting up – does anyone have any examples/proformas for more dynamic ToRs that leave space for change and development but also get the most important things on paper? I’d like to be a bit more creative and set the tone for this being a more useful meeting from the start? Any ideas welcome!

    • More dynamic Terms of Reference that leave space for change and development would be great thing to find.

      I hope someone can help!

And it’s far from the only organisational process that could really do with a more dynamic and responsive option 😉

    • Hi Annabelle, may I put forward the idea to coproduce these terms? Ask everyone who is involved in setting up the meeting, attending the meeting and who the meeting will affect to help design the terms of reference that are right for your group and the niche you work in. Coproduction works because it gives everyone a voice and together you will create terms that are right for your meetings.

    • Hi Annabelle

Great question! I agree codesigning with the group will be helpful to understand what each person wants and needs from the group meetings.

In case it’s helpful for the structure of the meetings themselves, this is a simple structure which can work well in lots of different settings.

      1. Checkin
      2. Rapid round of raising tensions
      – each person has the opportunity to state in a few words the tension/issue/opportunity they want to raise
      3. Resolving tensions *
      4. Replaying actions and decisions
      5. Check out**

      * not suggesting that everything can be ‘fixed’ in a meeting – but enabling agreement on the next step to address the tension

** this blog suggests a way check out can work well, an alternative to the dreaded AOB! https://www.easierinc.com/blog/r-i-p-a-o-b/

      Roles:
      Chairperson (or Host?)
      Recorder
      Timekeeper

Any use? Best of luck, interested to hear how it goes
