Northern Lincolnshire and Goole Hospitals NHS Foundation Trust are about to embark on an ambitious and large scale administrative function review, involving 19 Specialty Administration Teams, across 3 hospital sites across a large geographical area.

The change involves moving from manual to electronic records, and a complete review and redesign of job roles, functions and structures.  It requires engagement and input from all levels within the organisation to ensure process and systems can meet the changing face of NHS administrative systems.

The training required involves change management and coaching techniques to enable us to have ‘change agents’ within the teams, to help with communication and support staff at the ground level, enabling change to happening quickly and effectively.  The engagement events will be a mixture of drop-in and structured events, such as Rapid Improvement Events that will take 3-5 successive days to host.  Funding is required to cover training and travel costs and to support the hosting of the structured events.

How you can contribute

  • Any guidance from members who have embarked on a similar project?
  • Any graphics and paperwork that could be adapted?

What i don't realize is in truth how you're no longer really much more well-liked than you may be now. You're very intelligent. You already know thus significantly in relation to this matter, produced me in my opinion believe it from a lot of various angles. Its like men and women are not fascinated except it抯 one thing to accomplish with Woman gaga! Your individual stuffs nice. At all times take care of it up!

  2. Hi Kerry, change agents trained and working within the teams who are going to undertaking this facilitated, accelerated transformation is going to be a great way to ensure frontline staff engagement and effective communication. How are you going to select the staff who will receive this additional training?

  3. Hi Kerry & team, I think this is a great idea given how important admin staff are in patient care, either directly or also supporting their clinical colleagues. From previous experience if you don't bring them with you on the journey then it really can affect morale because anything IT can be a stressful process to many people. My suggestion would be to involve the Consultants & managerial staff as well in this improvement process so they all share the importance of the move from manual to electronic records which will benefit your patients.

  4. Hi Kerry and team. This is a great idea and would provide an opportunity to share learning and improvement. Please get in touch and let us know if you think collaboration would work on this.

  5. Hi Kerry,

thanks for sharing your project idea. Indeed an ambitious and important project!

My experience is that administrative teams are likely to support the idea in principle, but be concerned about what this means for their job role. I wonder whether as well as formal change management training and co-design work, there might be something 'softer' to offer staff, to help support their psychological wellbeing during this time of change and resilience support.

In addition, involving the clinical teams will also be critical because i have often found that they can skeptical of removing paper records and will need assurance that the process is not going to add unnecessary burden to them - i'm sure you've considered this!

Finally, whilst i don't have graphics to share, i did want to let you know about sketchnoting. not sure if you have come across this before, but it's  a great way to communicate key messages rather than using a lot of text. they're visually appealing and convey messages in a quick and engaging way. there is a Q special interest group in this too, you can have  a look here: https://q.health.org.uk/community/groups/sketchnote/

Thanks a lot and good luck!
